Request a traceable evidence pack tied to one machine serial number: identity photos, current operating videos, test results, included items, seller authority and an agreed acceptance record. A short power-on video alone does not establish condition, ownership or fitness for production.
Start with identity, not a promotional video
Ask for legible nameplate photographs, full machine views, controller details and current location. Match the manufacturer, complete model, serial number and manufacturing year to the quotation. During a live call, ask the seller to show a buyer-provided reference or date marker alongside the same unit. This improves traceability but does not independently prove legal ownership.
| Evidence | What it should show | What it cannot prove alone |
|---|---|---|
| Identity photographs | Nameplate, complete unit, controller and major accessories. | Ownership, internal wear or accuracy. |
| Current operating video | Startup or warm-up when appropriate, agreed functions, controller status and any abnormal behavior. | Reliable long-term production performance. |
| CNC demonstration | Agreed spindle/axis operation, tool changes, representative machining and measured sample results. | All geometric errors or thermal stability under every condition. |
| Injection molding demonstration | Relevant clamp/injection sequence, agreed mold/resin/process conditions and sample evaluation where feasible. | Suitability for another mold, resin or production target. |
| Inspection report | Serial number, date, scope, instruments, findings, exclusions and supporting files. | Untested functions or future failure-free operation. |
| Commercial documents | Quotation, seller identity, included items, payment milestones and delivery scope. | That payment or shipment will be risk-free. |
How should a test video be recorded?
Agree the test sequence in advance. Prefer continuous segments that connect the identity, controller display and operating sequence. Request original files where practical rather than only edited highlights. Include relevant sound; an unexplained cut during a critical sequence should be clarified. Sensitive factory information can be excluded by agreement without removing the evidence needed to judge the machine.
Which documents should you request?
- Seller business identity and written confirmation of authority to sell the identified equipment.
- Itemized quotation with serial number, condition description, exclusions and accessory inventory.
- Available maintenance records, manuals, electrical drawings and legally transferable controller backups.
- Inspection scope and acceptance criteria, followed by results and outstanding defects.
- Pre-dispatch packing photos, packing list and the agreed shipping/commercial documents.
Document requirements vary by destination and equipment. Ask the destination broker to specify what is required before dispatch. Do not assume a certificate supplied by a seller proves compliance in your country.
When is an independent inspection appropriate?
Consider independent inspection when transaction value, technical complexity or uncertainty justifies it. Give the inspector a written scope and disclose any missing test facilities. Identify whether the work is visual inspection, functional testing, measurement or a combination. An honest report lists exclusions rather than marking every item “passed.”
